KeyFile is in a private pilot. This page sets out the commitments the product is built on. The full privacy policy, terms and data processing agreement will be published here before public launch.
What KeyFile reads
With your permission, KeyFile reads the mailboxes you connect to find receipts, invoices, bills, statements and certificates, and reads the Google Drive folder you choose so it can file documents there. It never sends mail, never deletes mail, and only moves mail into folders if you switch mailbox filing on.
What KeyFile keeps
The documents it files, the register built from them, and the details taken from each document: date, supplier, amount, owner, property and expiry. Email text is read to find documents and then discarded. Logs hold reference numbers only, never subjects, senders or file names. Mailbox connections are encrypted at rest with a key made for each customer.
Who can see it
You, and any accountancy firm you give access to, for as long as that access is live. You can see who looked and remove access at any time. Disconnecting a mailbox ends KeyFile's access to it. Deleting your account removes everything after a 30 day window.
Google and Microsoft
KeyFile's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Microsoft 365 access uses delegated permissions for the signed in user only.
